How to get your Student ID Card

New students

  1. Enrol online

    You'll receive an email from us inviting you to enrol online. In this email we’ll provide you with your username and password. The email will be sent to the correspondence email address you provided at the point of application. During online enrolment you will be guided through a series of screens. You'll be asked to confirm your personal details, you'll find information about your tuition fees (if applicable) and you'll upload a photo for your Student ID Card. You're encouraged to complete this step as early as possible so that we can have your Student ID Card ready when you arrive.

  2. Face-to-face enrolment

    The next stage will be face-to-face enrolment which takes 5-10 minutes. At your face-to-face enrolment session, we'll check to ensure that you have completed all the steps in the on-line enrolment process, we'll also verify your identity and nationality and check that your personal details are correct. When it’s time to complete this stage, you will be contacted on the email address you provided to us when you completed on-line enrolment. If you are taking out a student loan and have your payment notification letter, please have it with you. If this hasn’t arrived or you don’t have the letter with you, please don’t worry and do go ahead with booking the enrolment slot.

  3. Collect your student card

    You can pick up your student card at the Help Desk, University of Staffordshire London. New entrants, during your first day on campus, you will receive a notification on Beacon with your allocated time for collection. Please adhere to the collection times provided.

What will I need to complete online enrolment?

For UK students, other visa types and European Students.

You will need:

  • Your University of Staffordshire student ID number, which can be found on any formal email correspondence from the University.
  • A digital photograph for your Student ID Card (maximum file size 10MB and it can be any of BMP; GIF; JPEG; JPG; PNG.) 
  • Two forms of ID.  One must be your passport, birth certificate or Biometric Residence Permit and the other could be be a driving licence, National identity card, College ID card, bank card, or utilities bill (which includes your name and address).  All students are expected to provide at least one form of photo ID. 
  • Unless you are paying your own fees, you will need to provide your account details (in order for the University to make any payment to you that you may be eligible for).
  • A valid credit/debit card to arrange payment of your fees (this will only be required if you are liable to pay fees or are waiting for your student finance to be confirmed).
  • Please note that if you have a sponsor other than Student Finance England, you'll need to upload a sponsorship letter as proof when you complete the tuition fee stage. If you have difficulty doing this, please email your letter to income@staffs.ac.uk
  • EU/EEA students with a UK domicile will be asked to provide your EU settlement code

Please ensure you have the ID ready face-to-face appointment on campus.  If it is that you don’t have the ID that you uploaded (for example, you uploaded your passport and have had to send it off for you student loan application or don’t have it with you), please contact AskSaAS@staffs.ac.uk rather than book an appointment.  If you know you’ll have the ID within a couple of days, please book an appointment when you know you will have it with you.  Otherwise, colleague at AskSaAS@staffs.ac.uk will advise you.

What will I need to bring to face-to-face enrolment?

UK students, other visa types and European Students 

  • Proof of how your fees will be paid – if you are not applying for a loan from Student Finance England. 
  • Two forms of ID (one must be your passport or birth certificate). All students are expected to provide one form of photo ID. If your first form of ID is your birth certificate, then your second form of ID must be a photographic ID, such as a:
    • Driving licence 
    • National identity card 
    • College ID card 
    • Visa/BRP (where you hold a visa) 

If your first form of ID is your passport, then your second form of ID can be any of the following: 

    • Driving licence 
    • National identity card 
    • Utilities bill (must include your name and address) 
    • Bank card 
    • College ID card 
    • Non-UK/EU Nationals: If you have not provided a Biometric Residence Permit as your primary ID, your second form of ID should be evidence of your immigration permissions 
  • Your payment notification letter (all pages) if you are taking out a student loan – this is so we can activate your loan payments. 
  • EU/EEA students with a UK domicile will be asked to provide your EU settlement code

International students

During International Enrolment, you will be required to present your passport and BRP (Biometric Residence Permit)/Visa (or collect your BRP from us if you have requested it is delivered to the University), as well as the certificates listed in your CAS and offer letter. You are advised to attend the International Welcome activities which will explain the responsibilities that are associated with your new visa.

Most of the sessions and activities in the international programme are designed to help you adjust to life in the UK, meet other new students and inform you of the ways in which the university can support you. Once you have completed all the required steps, you will be able to book a timeslot to finish your online enrolment and collect your student card. The time and location will be communicated to you beforehand.

Returning students

All returning students are required to re-enrol online before the start of the new academic year. If your card has been lost, stolen, or damaged, ask Beacon or visit Student Connect for details of how to get a replacement card.

Continuing students who have student loans do not need to attend face-to-face enrolment to have their student finance activated.  Provided you have enrolled online, we will activate your finance payments in the first week of term.

Timetables

The easiest way to access your timetable - along with a bunch of other helpful resources - is via Beacon, your personal interactive digital coach. It is available from  Google Play, the App Store, and via the standalone Beacon website.

How to access Beacon

You will need to log in as a University user, not as a guest, to access your timetable. You will need your University username and password to log in. Your username will look something like this: a123456b your initial password is in the format of 3 words unless you have changed it.

When you can access your timetable

We aim for timetables to be as fair and simple as possible, and to be published as accurately and early as possible. In order to complete your personalised timetable:

  • if you are a new undergraduate or postgraduate student – you must have completed your online enrolment and confirmed your modules.
  • if you are a returning student – you must have received your online enrolment invitation and have either completed your early module registration or  confirmed your modules via online enrolment.

Please note: Timetables are subject to change – particularly rooms prior to the commencement of semester. It's important you check your timetable regularly.

What about my student loan?

If you are taking out a student loan and have your payment notification letter, please have it with you.  If this hasn’t arrived or you don’t have the letter with you, please don’t worry and do go ahead with booking the enrolment slot.

 

I have changed my name since application or online enrolment 

If you have legally changed your name, you will need to email your deed poll document or marriage certificate to studentconnect@staffs.ac.uk

What if I don't have time to complete enrolment before I arrive?

To ensure a smooth registration process, we encourage all students to complete as many of the online enrolment steps as possible before arrival - particularly the Student ID Card section in step two.

However, if you're unable to complete online enrolment prior to your arrival, don't panic. Staff will be on hand at your face-to-face enrolment session to help you through the process and answer any financial queries you may have.

What if I have technical difficulties?

If you don’t have access to IT and/or there are other reasons why you can’t complete face to face enrolment on-line, then please get in touch with us at AskSaAS@staffs.ac.uk

If we can’t help to resolve this, we will arrange a face to face appointment for you in person on the University campus. 

What is a personalised timetable?

A personalised timetable is specific to you. It is based on your course and module enrolment, including your core and optional modules. It also has your specific class allocations, when a class is run multiple times. More information on your modules enrolment can be found at e:Vision.

Timetabling information is provided for students studying 'on-campus' at University of Staffordshire London. Partner colleges, off-site locations and distance learning studies are not covered by central timetabling services.

What weeks will I be in University?

You can find more information on the weeks you will be in university on the academic calendar.

If you are studying an apprenticeship, with blended learning or other alternative provision, delivery details will be provided during the enrolment process.

Will my timetable change?

Once your timetable is published, the University will avoid/minimise changes to days and times as much as possible, and changes will not be made without consultation with your school/subject.

Please bear in mind that you may have a different timetable each semester and for some subjects across different weeks. Please ensure that you check your timetable regularly and for the specific week/semester.

How do I change my course or module choices?

If you are an applicant who has not yet enrolled and wish to change your course application, please email enquiries@staffs.ac.uk.

How do I change my class allocation (when a seminar is repeated)?

For some courses, class allocations are based on specific academic rules and therefore it is not possible to change. For other areas, it will be possible. Please liaise with your module leader as to whether you can change class and where you wish to change your class to.

What are Web Timetables?

Web Timetables is the previous system that was used to manage student timetables. Should you be unable to use the Beacon app, the Web Timetables system can act as a serviceable backup.
